Later than you would think, because nothing is committed until you print. A text change on an existing design is quick, and rush turnaround is $95 if the date itself has to shift close in. I would keep the printed run small for exactly this reason and let the digital files carry the details that might move. That is the sensible way to plan around a household that could get short notice.
Will day-of paper survive a windy afternoon near the sand?
Not on its own, so I design for it. Place cards get a fold or a slot rather than a flat card that sails off the table, and menus work better as one weighted piece per table than a light sheet at every seat. Sea air also softens paper over a few hours, so set it out late rather than first thing. None of that changes the design, it changes which format I hand you.
