A paint party runs to a schedule in a way almost no other gathering does. Everyone works through the same steps together, usually led by an instructor who is being paid for a fixed block of time, and layers have to dry before the next one goes on. Someone arriving late does not slip in quietly, they either miss the underpainting or the whole room waits. So the start time is not a suggestion and the invitation has to say that in words, not by implying it.
There is nearly always money on this one too. Canvases, paints, brushes and an instructor come to a real per-person figure, and hosts routinely leave it off the card and then chase it awkwardly. Put it on: the amount, what it covers, and whether it is paid ahead or on the night. Say what is included so nobody turns up with their own brushes, and say if drinks are bring-your-own.
Then the practical warning, which guests thank you for. Acrylic does not come out. People arrive in good clothes because it is a party, and the aprons never quite cover a sleeve. One clear line about wearing something you do not care about saves at least one ruined shirt per event, and it belongs on the invitation rather than in a reminder text.
What changes for this one
The card should not imitate a painting. The room will be full of colour and half-finished canvases, so a quiet layout with one hard-working detail reads better than splatters and brush strokes. What earns its space instead is a small block at the base holding the three practical facts: arrive-by time, cost, and what to wear.
When to send
Three to four weeks out, and earlier if you are booking an instructor, because their calendar is what fixes the date. Send a short reminder two days before with the arrive-by time repeated, since that is the detail people misremember.
Colours that work
Two colours and a lot of paper. Muted clay and cream, or ink and a single bright, so the card is legible next to whatever is about to happen to the tablecloth.
Questions people ask about paint party invitations
How do we make people arrive on time without nagging?
Write an arrive-by time as well as a start time, ten or fifteen minutes apart, and add a short reason: everybody paints together. Given the reason, people comply. Given only a time, they treat it like every other party.
Where does the per-person cost go?
On the invitation, in a small block with the rest of the practical detail. One line covering the amount, what it includes and how to pay. Guests decide on the number, so hiding it only moves the conversation somewhere less comfortable.
Is this different for a kids paint party?
The card is addressed to parents rather than children, so it carries pick-up time, whether the paint is washable, and whether the finished canvas needs collecting later once it has dried. Those three details are the ones I get asked to add most often.
Can you do the table cards and labels as well?
Yes. Name cards on each seat solve the wet-canvas problem at the end of the night, and I can match them to the invitation as party printables.
