How the finished transcript actually leaves the house

The PDF is done. This is the envelope, the portal, and the NCAA inbox.

The PDF is done. Sending it is a different job, and it is the job that decides whether a college, a scholarship, or the NCAA treats the record as official.

I built the transcript tool. I do not mail the PDF, upload it for you, or certify it. I also cannot tell you a parent PDF is accepted everywhere, because it is not. Each office sets its own rule. Read that office’s current page before you hit send.

What belongs on the page is a separate question. Start with what colleges look for in a homeschool transcript if the document itself is still in doubt. This page is the envelope, the portal, and the inbox.

Official is a send path, not a file type

A signed PDF on your computer is a finished record. It is not, by itself, an official transcript.

Many colleges treat an emailed copy, a student upload, or a paper the student carries in as unofficial. They want the file to come from the school. In a parent-run homeschool, that usually means you, in the role of administrator, using the method that office names this year.

Three paths show up again and again. None of them is universal, so treat them as a map, not a promise.

  • A counselor or school portal, such as Common App, where you upload the transcript with the School Report.
  • A sealed envelope you print, sign, and send from the homeschool, not a loose copy in a backpack.
  • A named electronic vendor on that college’s current transcript page. Parchment is one optional send path some offices list. It is not a requirement that makes a parent transcript real. Do not buy it unless the destination names it, or you want that convenience.

If the current admissions page is vague, email that office and ask how they want a homeschool transcript sent. Get the answer in writing. Then follow it.

If you are still assembling the year-by-year record, go back to when to start a homeschool transcript and the records that become one. Delivery cannot repair a file you have not built.

Common App

On Common App, the parent usually serves as counselor for a parent-run homeschool. An umbrella administrator may hold that role instead, if that is how your homeschool is organised.

The student invites that counselor from the application. You then get a counselor account. The transcript typically uploads with the School Report, not as a stray attachment the student drops in.

That is the current shape as families describe it. Common App screens, labels, and counselor forms change. Follow the current counselor forms in the live application, not a screenshot from last year. If a college on the list still asks for a separate official copy, that college’s current page wins.

Do not upload a dual-enrollment college transcript as if it were your homeschool file. That college has to send its own official copy. More on that below.

Direct to a college

Read the transcript instructions on that college’s current admissions site. Homeschool notes, if they exist, sit on a different page from the generic “request from your high school” blurb. Find them.

If they want a sealed envelope, print the signed transcript, seal it, and send it from the homeschool. A student-carried envelope is the version many offices will not call official. If they want a specific vendor, use the vendor they name. If they accept a counselor-portal upload, use that portal.

Do not assume an email from your personal inbox will do. Some offices accept it. Many do not.

Co-op classes and online providers can complicate the pile. If that provider issues its own transcript, ask how they send an official copy. Listing the course on your homeschool page is not the same as that provider’s send. For how the line itself should read, use co-op and online classes on a transcript.

Dual enrollment is a separate send

If your student took the course at a college, that college sends its own official transcript to the destination. You cannot make it official by typing the grade onto the homeschool page and emailing your PDF.

List the course on your homeschool transcript so the four-year record is honest. Then request the college transcript from that registrar, using the address or electronic school code the destination publishes. How to list dual enrollment is the listing guide. This paragraph is only the send.

The same split applies to NCAA and to many scholarships. Two offices, two sends.

Scholarships and other offices

Ask that program how they want the file. Some take an upload in their portal. Some want the same sealed envelope or vendor send a college would. Some will call a parent-emailed PDF unofficial and stop there.

Do not reuse a student-uploaded copy and hope. Repeat the question for each deadline, because a state grant, a private scholarship, and a college admissions file can disagree.

NCAA Eligibility Center

Homeschool athletes send a packet to the NCAA Eligibility Center. The public starting point is the current NCAA homeschool students page. The 2025-26 Homeschool Toolkit names the transcript fields and the document inbox. Forms and the inbox move, so use the live page and the current toolkit together.

I cannot certify eligibility. Meeting a document list is not a decision from the Eligibility Center.

The current NCAA homeschool page says the Eligibility Center starts reviewing once the required documents are in and the student’s Academic and Athletics Certification account is on an NCAA school’s institutional request list. A school does not have to add a student to that list.

That page also says the parent or guardian emails the administrator statement, even if the student is in an umbrella program, and that the parent or guardian completes and signs the Core-Course Worksheets.

The 2025-26 toolkit says a homeschool transcript must include a ninth-grade start date (month, day, and year), among other fields. Email is the preferred send path, from an address listed on the Administrator and Accordance Statement, to [email protected]. The toolkit still lists a mail option. Confirm both the address and the method on the current Eligibility Center page before you send.

The toolkit also has a proof-of-graduation section and a full document list. Use that current list as the checklist, not this post. Official transcripts from any other high school or college still have to come from those schools.

Worksheets belong to the courses you taught, graded, and credited. A dual-enrollment class is evaluated from the college’s own transcript. A co-op or online school that issued its own record should send that record itself.

Register the student with the Eligibility Center first.

Preliminary send and final send

Fall of senior year, the destination often wants the file while senior courses are still running. Send a preliminary transcript. Mark those courses as in progress, then send a final copy once the graduation date is on the page.

How to mark the in-progress line is in-progress senior courses. Do not leave senior year blank on a fall send and hope they guess.

Some applications also ask for a midyear update after first-semester senior grades. That is another send of the same record, not a new kind of document. Check the current application instructions for whether they want it, and through which portal.

Keep a dated copy of what you sent each time. If an office says a file is missing, you need to know which version left the house.

Who signs is a different page

A signature does not travel by itself. The send path still has to match what the office asked for. The name on the line, umbrella versus parent, and what “administrator” means live on who signs a homeschool transcript. Read that before you print.
